Job Description
Be the operative and administrative assistant of a fast-growing small startup company in the forefront of biotech research. Currently seeking someone exceptional to take handle all administrative and operations. The position is defined as flexible full-time. The position entails handling the office environment, performing administrative tasks and providing support to coworkers. Managing complex multi-time-zone schedules and assisting workers while working versus subcontractors to build new facilities.
Objectives of this Role
· Provide direct administrative support to CEO, including email correspondence, and generation and distribution of memos, letters, spreadsheets, forms, and faxes
· Keep track of all bookkeeping filings and correspondence.
· Provide front desk coverage, managing incoming/outgoing mail and shipments.
· Ensure optimal operation of office equipment, supplies, and inventories with preventive maintenance
· Plan, organize, and schedule company meetings occurring in the office, offsite, and via video conference
· Take charge of company welfare, including organizing company events.
· Coordinate domestic and international travel arrangements for all levels of employees
· Maintain filing system, contact database, employee list, and inventories
· Oversee and order office supplies and food deliveries for group meetings.
· Position is set for four months, however, as the company is expected to grow, it is an advantage if there is a possibility for long term employment on behalf of the candidate

· Highly proficient in spoken and written English - must
· Proven administrative experience - must
· Experience handling suppliers, invoicing and gathering accounting documentation for an external bookkeeper
· Superb written and verbal communication skills
· Strong time-management skills and multitasking ability
· Proficient in Microsoft Office, Priority ERP (advantage) with aptitude to learn new software and systems
Preferred Qualifications
· College degree
· Experience managing budgets and expenses
· Experience as a back-office admin
· Comfortable handling confidential information
